What to do if you have a problem during your stay in a holiday rental

If a problem arises during your stay in a holiday rental, the most important thing is to contact the host clearly and respectfully, give them the opportunity to resolve it and provide evidence if needed. Most issues are handled better

Issues can arise during any stay, including in a holiday rental in Mallorca. A maintenance problem, an issue with the hot water, an electrical fault or any other unexpected situation does not necessarily mean that the stay is ruined.

What matters most is knowing how to respond when a problem arises and giving the host the opportunity to find a solution.

First of all: contact the host

If you notice a problem in a holiday rental property, the first thing you should do is contact the host or the company managing the property.

And the tone matters.

Explaining what has happened clearly, politely and reasonably makes communication much easier. Starting the conversation with demands, threats or a lack of respect can unnecessarily damage the relationship between guest and host.

The aim should be simple: explain the problem and look for a solution.

Explain clearly what is happening

The more information the host has, the easier it will be to help.

Explain what has happened, when the problem started and how it is affecting your stay. If possible, send photographs or videos. This can help identify the issue and may even allow the problem to be solved without anyone having to travel to the property.

Clear communication saves time and helps avoid misunderstandings.

Bear in mind that not every problem can be solved immediately

The host should try to respond and find a solution as quickly as possible, but it is also important to have reasonable expectations.

It may be necessary to contact a technician, obtain a replacement part, wait for a supplier or travel from another part of the island. A holiday rental management company in Mallorca may also be dealing with other properties and issues at the same time.

That does not mean that your problem is unimportant. It simply means that some solutions take time.

Speed matters, but so does patience when there is a genuine effort to resolve the issue.

Consider how serious the problem actually is

Not every issue has the same level of importance.

A blown light bulb is not the same as being left without water, electricity or another essential service for a prolonged period.

If the problem significantly affects the normal use of the property, the host should look for an appropriate solution and, where justified, consider alternatives or compensation.

However, if it is a minor issue or something caused by circumstances that the host could not reasonably have predicted or controlled, it is reasonable to give them time to try to resolve it.

A problem should not automatically become an opportunity to request a refund

The fact that an issue has occurred does not automatically mean that the entire stay should be refunded or that the accommodation should immediately be abandoned.

First, consider how serious the problem is, how long it lasts, how much it genuinely affects the stay and what steps the host is taking to resolve it.

If there has been clear negligence, the host does not respond or the accommodation cannot reasonably be used, it may be appropriate to request compensation or contact the booking platform.

However, when an unexpected issue arises and the host is genuinely trying to resolve it in good faith, we believe it is reasonable for the guest to act in the same way.

If the host does not respond, contact the booking platform

The opposite situation can also happen: a guest reports an important problem and receives no response at all.

If several hours have passed, you have tried the available contact methods and there is no willingness to help, then it may be appropriate to contact the booking platform.

In that case, try to explain the situation as objectively as possible.

  • Keep the messages you sent to the host.
  • Take photographs or videos of the issue.
  • Explain when the problem started.
  • Describe how it is genuinely affecting the stay.
  • Explain what solutions you requested and what response you received.

The clearer and better documented the situation is, the easier it will be for the platform to understand what has happened.

Good faith works both ways

A good experience in a holiday rental in Mallorca depends both on the responsibility of the host and on the attitude of the guest.

The host should be available, respond, take responsibility where appropriate and try to resolve any problems that arise.

The guest, in turn, should report issues respectfully, provide enough information and allow a reasonable amount of time for a solution to be found.

Whether you have paid a high or a low price for the stay does not change one basic principle: both sides deserve to be treated with respect.

Most problems can be resolved when there is communication, patience and a genuine willingness to find a solution.
